Job Description
JOB SUMMARY
The Master Scheduling Coordinator coordinates the Master Scheduling goals and objectives System-wide; including, but not limited to planning, directing and coordinating activities to ensure they are accomplished within the prescribed time frame and funding parameters.
Responsible for ensuring course creation and room scheduling is accurate, and complete in a timely manner, while optimizing College space.
Responsible for generating course and scheduling analytical reports, compiling historical data, and has oversight of the Master Scheduling Services to include: analysis of class and room scheduling efficiency, forecasting scheduling and usage trends, recommending and implementing efficient methodologies, and changes in the academic schedule in collaboration with other administratorsESSENTIAL FUNCTIONS
Provide staff oversight, direction, and guidance, including hiring and orientation, training, coaching, developing work schedules and terminating personnel.
Review goals/initiatives to determine time frame, funding limitations, and procedures for accomplishing, as well as staffing requirements, training activities, and allotment of available resources.
Provide institutional-wide support to oversee the documentation of course creation and room scheduling procedures, and recommends and implements best practices/efficiencies as needed.
Manage the activities of Instructional Units or COE staff inputting class schedules in the information management system.
Establish and implement workflow patterns and operating standards to accommodate academic unit course/section scheduling requirements and requests.
Oversee the integrity of the course database in the information management system in collaboration with the Center of Excellence or Instructional Unit staff.
Assist in project planning, development, implementation and control to ensure efficiency in meeting the needs of the Organization and the College.
Maximize room and seat utilization, while applying effective scheduling policies, in a consistent and equitable manner.
Help ensure scheduled classrooms accommodate HCC's instructional needs.
Work with IT to effectively implement scheduling software to facilitate the scheduling and assignment of teaching spaces efficiently.
Act as primary point of contact and liaison with Instructional Units on a range of complex scheduling, operational and administrative issues related to course offerings and room scheduling.
Manage and direct activities for scheduling software and course file updates.
Assist and serve as a Subject Matter Expert for Instructional Departments on processes and procedures regarding effective course scheduling and generating the Schedule of Classes through the Student Administration System.
Ensure the HCC standardized start-time schedule is consistently followed System-wide.
Coordinate with the Deans and Chairs to manage and implement the published Master Schedule Timeline for each semester.
Collaborate with the Associate Vice Chancellor, Instructional Services to develop, implement and maintain processes and procedures regarding HCC's master scheduling.
Adhere to FERPA established rules and regulations.
Perform other duties, tasks and assignments as required.
QUALIFICATIONS
Education & Experience
General Office. Must be able to perform all job requirements with or without reasonable accommodations; remain in a stationary position during shift; move items weighing up to 25 pounds; position self to operate job equipment; apply established protocols in a timely manner. Must access, input and retrieve information from technology devices; communicate with others to accomplish job requirements. May be required to work after hours to include weekends and holidays.

QUALIFICATIONS
Education & Experience
- Bachelor’s degree in Education, Business or a related discipline required
- 8 years directly-related work experience in Master Scheduling, College-Wide Scheduling, and/or Multiple Program Semester Scheduling experience may be considered in lieu of required degree
- 3 years’ related experience creating semester courses in mass quantities, room scheduling/space utilization using scheduling software in a higher education institution required
